Job Summary

As Administrative Coordinator, you will be at the heart of our operations, providing support to various departments including HR, Finance, Marketing, and IT. Reporting to the Human Resources and Operations Manager (or designated), you will be responsible for coordinating administrative tasks, streamlining processes, and ensuring efficiency in day-to-day operations.

Responsibilities

The primary responsibilities include, but are not limited to:

Administrative Efficiency

  • Coordinate and execute administrative tasks to support daily operations.
  • Act as a point of contact for internal and external stakeholders, providing excellent customer service.

Event and Sponsorship Coordination

  • Assist in the planning and execution of internal and external events, meetings, and conferences.
  • Coordinate logistics, including venue selection, catering, and materials preparation.
  • Execute sponsorship commitments and logistics.
  • Ensure seamless communication within the office and with external partners.

Communication

  • Prepare internal and external communication.
  • Review and edit significant communication material while ensuring consistency in language and format.
  • Replying to internal and external inquiries.

Qualifications and Requirements

  • A post-secondary degree or diploma in a related field, or equivalent work experience.
  • 2-5 years of experience in administrative roles, showcasing a demonstrated sense of ownership.
  • Strong organizational and multitasking skills to manage competing priorities effectively.
  • Excellent communication skills, both written and verbal.
  • Exhibit accountability and ownership for the successful completion of assigned responsibilities.
  • Problem-solving mindset with the ability to navigate challenges independently.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant office software.
  • Ability to work collaboratively in a team and independently.
