Job Summary

We are seeking a detail-oriented and customer-focused Facilities Coordinator to join our team. This role is
essential in ensuring the comfort, cleanliness, and smooth operation of our office environment for both staff
and visitors. You will be the go-to person for day-to-day facilities operations and managing vendor
relationships. While facilities management is a key component of the role, customer service is at its heart.
Experience in providing outstanding customer service is essential.

Key Responsibilities

• Ensure a welcoming and organized office environment for staff and visitors, maintaining the highest
level of customer service.
• Manage relationships with vendors for supplies, equipment, and services.
• Assist in planning and facilitating office renovations and improvements with the management team.
• Set up and take down flexible working spaces daily.
• Maintain up-to-date floor plans and emergency evacuation plans.
• Oversee the operation and maintenance of office equipment, including preventive care.
• Procure and manage office, kitchen, and furniture supplies.
• Organize and coordinate office moves and workstation adjustments.
• Ensure boardrooms and common areas (kitchen, filing areas, etc.) are tidy and prepared for client
meetings.
• Manage parking lists and enforce parking restrictions when necessary.
• Address and resolve facility service requests and perform other operational tasks as required.

Qualifications and Skills

• Proven customer service experience is essential.
• Previous facilities or office management experience is an asset.
• Bilingualism (English and French) is an asset.
• Strong time-management skills and ability to multitask in a dynamic environment.
• Exceptional organizational and communication skills.
